Leaves of absence

Upon request, students can be granted a leave of absence from their studies for important reasons.

1. Legal basis

Rules on leaves of absence are laid down in paragraphs 10 and 11 of “ Statutes governing Enrollment, Re-Enrollment, Leave of Absence and Exmatriculation at the Technische Universität München“ in connection with “Art. 64 Abs. 2 mit 4 Bayerisches Hochschulgesetz“.

2. Important reason

A leave of absence can only be granted for an important reason. This reason has to be sufficiently proved, an important reason being a reason impeding studies and rendering the timely termination of studies questionable. Students cannot be expected to exmatriculate and apply for enrollment again. Recognized reasons are especially:

  • an illness, certified by medical certificate, if impeding normal studies in the semester concerned
  • circumstances that would entitle an employee to go on maternity leave
  • during the period for the care of a close relative
  • pursuing a course of study at a university outside of Germany
  • military service or alternative service
  • an internship prescribed by the examination regulations and conditions of study, taking place outside the university and lasting longer than the semester break

Other reasons for individual cases can only be approved after examination. Economic reasons are not considered important reasons.

3. Duration and deadlines

  • A leave of absence is normally granted for one semester and should not exceed two semesters. A leave of absence for more than two semesters can only be granted as an exception in case of special circumstances.
  • Even in case of an important reason, a leave of absence for the first semester of actual studies (“Fachsemester“) is only possible, when the reasons for the leave of absence occurred after enrollment and could not be foreseen before.
  • In principle, students who studied more than three semesters longer than the maximum time allowed for their course of study cannot go on leave of absence.
  • The application for a leave of absence can be submitted in the time span from registration for the next semester (“Rückmeldung“) until the beginning of the university session. If the important reason occurs later and could not be foreseen, the application can be submitted up to five weeks after the start of the university session.
  • It is not possible to obtain a leave of absence retroactively.

4. Procedure

  • An application for leave of absence has to be submitted in writing (using the form) to the admission office or the administrative office “Weihenstephan“ of Technische Universität München.
  • When submitting the application, the reasons for the leave of absence have to be stated on the application and be proven by suitable documents. If an illness is the reason for leave of absence, it has to be proven by medical certificate, and if the Technische Universität München requires it, by medical certificate of a medical examiner.
 Form for leave of absence

5. Legal consequences

  • Rights and duties of the student are not affected by the leave of absence, except for the duty to properly partake in studies.
  • Students on leave of absence have a right to vote in university elections.
  • At Technische Universität München, it is not possible to take exams during a leave of absence. This is not valid, however, if retaking an exam. In this case, it is especially important not to pass any time limits prescribed for retaking exams because of the leave of absence.
  • Semesters of leave of absence do not count as semesters of actual studies (“Fachsemester“) contrary to what may be stated in the examination regulations and conditions of study. However, in case of recognition of at least 22 Credits, the semester of leave of absence will count as semesters of actual studies (“Fachsemester“).
  • You can apply for the tuition fees for the term in progress to be refunded. Here you will find the application for reimbursement

EXMATRICULATION

There can be several reasons for exmatriculation. The most important or most common reasons are explained below:

1. Legal basis

The legal basis for exmatriculation is laid down in para. 12, 13 and 14 of “Statutes governing Enrollment, Re-Enrollment, Leave of Absence and Dematriculation“ of Technische Universität München in connection with article 65 of “Bayerisches Hochschulgesetz“.

All possible reasons for exmatriculation are listed in article 65 of “Bayerisches Hochschulgesetz“.

2. Important/ common reasons for exmatriculation

The most common reasons for exmatriculation are:

  • request by the student after passing the final examinations,
  • definitely failing an examination that is required for the pre-degree, intermediate or the final examination according to examination regulations or if the student definitely cannot procure the prerequisites needed for one of those examinations for reasons the student is responsible for,
  • if the student failed to register in due time for continuation of studies in the next semester.

2.1 Exmatriculation upon request

  • If the student submits a request for exmatriculation, this request is to be complied with.
  • If requesting exmatriculation within five weeks after the beginning of the university session, exmatriculation is in effect on the day the request was submitted.
  • If the request is filed later, exmatriculation is only possible at the end of the current semester.
  • Only in exceptional cases, e.g. if being admitted to another course of study with restricted admissions after moving up in the waiting list, the exmatriculation can be effected for the day the request was filed, even after expiration of the five weeks after beginning of the university session.

    form: request for exmatriculation

2.2 Exmatriculation because of passing final examinations

  • A student is exmatriculated at the end of the semester in which she/ he passed all final examinations.
  • The exmatriculation is in effect by virtue of the law, i.e.the student is “automatically“ exmatriculated when passing final examinations.
  • The decisive point in time is the day on which all academic achievements have been rendered, i.e. the day the last exam has been successfully taken.
  • If the student‘s last academic achievement consisted in a thesis, the student is exmatriculated at the end of the semester the thesis was handed in. This is independent from the point in time when the thesis will be evaluated, when the last examination session took place or when the diploma will be handed to the student.
  • Please note that in indivudual cases exmatriculation then can be in effect retroactively.

2.3 Exmatriculation because of definitely not passing

  • A student has to be exmatriculated “ex officio“ if definitely failing an examination that is required for the pre-degree, intermediate or the final examination according to examination regulations or if the student definitely cannot procure the prerequisites needed for one of those examinations for reasons the student is responsible for.
  • In this case, exmatriculation is effected “ex officio“, i.e. the university has to pronounce the exmatriculation - without further actions by the student.
  • The exmatriculation is a consequence of definitely not passing and will be pronounced at the same time as the respective examination certificate is issued. It is in effect upon entry/ delivery.

2.4 Exmatriculation because of failure to renew registration in due time

3. Legal consequences

  • Upon exmatriculation the student is no longer a member of the university and basically loses all rights and duties (connected to the student status).
  • The student basically loses the right to partake in examinations (for exceptions see below).
  • Important: this is not valid for examinations that are to be retaken, because exmatriculation does not affect the time limits prescribed for retaking exams.
  • Moreover, examination regulations possibly may require the student to take an exam for which the student registered before exmatriculation.

4. Procedure

  • The application for exmatriculation has to submitted to the admissions office or the administrative office “Weihenstephan“ of Technische Universität München by means of a form.
  • The student ID needs to be included in the application.
  • If the exmatriculation is effected by virtue of the law or “ex officio“ the student has to hand in her/ his student ID without delay upon request of the university.
  • If exmatriculation is “ex officio“, the student receives a notification with instruction on right to appeal by Technische Universität München. In addition, she/ he receives a written confirmation of exmatriculation.
  • In order to get the refund of your tuition fees please submit this form at the department Fees and Scholarships (beitragsmanagement@zv.tum.de).

Note: In order to get a refund of the tuition fees of € 500,-  for the winter semester 2011/12 an own initiated exmatriculation is necessary till November 18th, 2011.

Validation

Before you can use the StudentCard for the first time you must validate it at one of the stations made available.

  • Validation is required

    • following successful enrollment
    • and after every (successful) renewal of matriculation
  • Validation deletes the information strip (TRW strip) on the front of the card and reprints it with the current validity date. The new validity date is also replaced in the chip.
  • PLEASE NOTE: Extension of the validity date is not possible as long as there has been no renewal of matriculation, i.e. the TUM has not received the semester fees.

  • Validation procedure:
  • 1. Insert the card into the slot of the validation printer as shown on the display. The display of the validating device indicates the direction in which you have to insert the card. If you accidentally insert the card in the wrong direction, then simply wait until the machine completely releases your card again.

    2. During the write operation your StudentCard is drawn in twice by the system. It is imperative that you wait until this operation has been completed and do not try to pull the card out of the machine by force!

    3. Please remove the card only after the audio signal.

  • Validation Station Locations:
      • TUM Main Campus
You can find two validating stations on the ground floor installed on the left and right of the staircase to the library at the university’s main campus, located at Arcis Strasse 21 in 80333 Munich.
      • Garching Campus
At the Garching Campus you can find two validating stations near the entrance to the Mechanical Engineering Department, behind a column next to the lockers on the left. You can find two other stations near the entrance to the Computer Science Department in a wall recess on the left (past the cafeteria and the toilets).
      • Olympiapark Campus
At the Olympiapark Campus you can find a validating station across from the Cafeteria next to the "Geräteausgabe".
      • Weihenstephan Science Center
The station in Weihenstephan is installed in the staircase near the post office.
    Upgrades

The StudentCard can be recharged on a Student Services card charger.

    • In the entrance hall of the refectory located at Arcis Strasse 17 you can find an EC card charger where you can transfer amounts to your payment card by using your Eurocheque or EC card.
    • Additional cash chargers are available in all of the refectories and cafeterias operated by Student Services within the area of the Technical University of Munich as well as at the increasingly number of touch vending machines (combination of hot beverage dispenser and snack vendor).
    The StudentCard can be upgraded with 5 €,10 €, 20 € and 50 € cash notes.

    Safekeeping

We recommend that you treat your StudentCard with care in order to ensure that you will be able to use the StudentCard for a long time.

    Thus you should avoid:
      • bending the StudentCard (contact wear and antenna breakage) slight continuous curvature (problems with printing the data on the TRW strip during validation)
      • chemical influences (e.g. washing or contact with other liquids)
      • high temperatures
      • heavy soiling of the Studentcard
      • storage near an EC card
In order to protect the StudentCard against damage, you should keep it in a protective plastic cover.
You can usually get such protective plastic covers from your bank free of charge.
    Loss and Theft

In order to prevent misuse of your card (e.g. in libraries), please report loss or theft of your StudentCard to the Registrar’s Office immediately and have the library number deactivated in one of the libraries.

PLEASE NOTE: The Registrar’s Office does not notify the library about losses or theft!

If the StudentCard is reissued, a new library number will be assigned by the Registrar’s Office and then communicated to the library.

    • Reissue in Case of Loss and/or Negligent Damage:
      • A fee in the amount of 30 € will be charged in the case of loss and/or negligent damage of the StudentCard.

During the business hours of the cashier's office (Room 1157): Monday, Wednesday and Friday from 9:00 a.m. to 12 noon students are required to pay the fee due and submit the corresponding receipt to the Registrar’s Office.

Outside of the business hours of the cashier's office students are required to pay the fee directly to the Registrar’s Office.

    • Reissue in the Case of Theft
      • In the event that the Studentcard is stolen it is imperative that you submit a police theft complaint in which the StudentCard is clearly indicated.

In this case reissue is free of charge.

Without a police theft complaint a fee in the amount of 30 € shall be due.

Please contact the Registrar’s Office if you have any additional questions concerning the StudentCard.
